Project Overview

The project entailed a comprehensive process of collecting, reviewing, and verifying information for 240 post-secondary institutions across Canada. The client’s primary requirement was to locate and verify the URLs for the application forms of each school. Additionally, detailed information about the various fields of study offered by each institution needed to be researched, ensuring that all relevant programs, departments, and faculties were included. The information was to be systematically organized and presented within an Airtable database, where each record would contain not only the verified URLs but also extensive descriptions of the academic offerings, such as degree types, specializations, and any unique programs. The project demanded accuracy, thoroughness, and a structured approach to data entry, with particular attention to ensuring that each institution's data was up-to-date and complete.

Business Problem

The client required accurate and comprehensive data for 240 post-secondary institutions across Canada, with a focus on gathering the URLs for each school's application forms and detailed information regarding their available fields of study. This included capturing information about degree programs, academic departments, and areas of specialization. One of the significant challenges faced during the project was related to the constraints of Airtable, which the client preferred as the data management platform. Due to Airtable’s limitations, particularly the inability to add additional columns beyond a certain threshold, organizing the large volume of detailed information in the desired format posed a logistical challenge. The team had to find creative solutions to condense the data without sacrificing accuracy or completeness, ensuring that the critical details for each institution were recorded in a way that met the client’s needs while still adhering to the structural limits imposed by Airtable. This required both a strategic approach to data formatting and close communication with the client to prioritize which pieces of information were essential for their purposes.

Solutions Delivered to the Client

We successfully delivered the project to the client, providing them with the URLs for the application forms and comprehensive information on the fields of study for all 240 post-secondary schools. Despite the constraints imposed by Airtable, which restricted the number of columns and therefore limited the amount of data that could be included directly in the platform, we developed a solution to ensure all essential information was captured. For each institution, where it was not possible to include every available program due to Airtable’s limitations, we carefully selected similar programs or closely related fields of study to maintain relevance and consistency. Additionally, we documented any excluded or supplementary information, such as additional programs, degree details, or further descriptions of fields of study, in a separate Excel file. This file was provided alongside the Airtable database to ensure that the client had access to the full dataset. By combining both formats—Airtable for quick reference and Excel for detailed, supplemental information—we ensured that all data requirements were met comprehensively, while providing the client with a flexible, multi-platform solution that catered to their specific organizational needs. This dual-format approach allowed the client to work within the constraints of Airtable while still receiving the complete set of data they needed to make informed decisions.
